Begin with a repeated decision

Automation works best when the next step is already understood. Write the trigger, the action, the responsible person and the exception before choosing software. If two people disagree about how a request should be handled, clarify the process first. Automating ambiguity only makes the confusion happen faster.

1. Route incoming requests

When a website inquiry arrives, save the service requested and assign a review task. Notify the person who owns that service. Preserve the source page so they know what the visitor saw. Keep unusual requests in a review queue rather than forcing every message into an unsuitable category.

2. Remind someone to follow up

A reminder is a safer first step than an automatic customer email. For example, when a proposal is marked sent, create a task to review it on an agreed date. If the prospect replies or declines, stop the reminder sequence. A human can decide whether a follow-up is useful and personalize it to the conversation.

3. Prepare a project handoff

Once a proposal is accepted, create a project checklist with the agreed scope, the contact person and the assets still needed. Do not infer payment or acceptance from an opened email. Use a deliberate status change or a verified event. Keep credentials out of task descriptions and use the agreed secure channel for access.

Define the off switch

Each automation needs a visible status, an owner and a way to pause it. Log failures without exposing private customer content unnecessarily. Test retries so a temporary error cannot create repeated tasks or send duplicate messages. Measure practical outcomes such as unassigned inquiries and overdue tasks, not just the number of automations running. Add AI where judgment support helps, with a person reviewing commitments, prices and sensitive replies.
